Keep complete control of your mailbox while you are away with e-mail forwarding and auto-responders

Information in your mailbox is time sensitive and crucial for your business. Do not lose a business opportunity just because you are on the vacation or away from the office a day or two. Use the web mail client’s powerful mail rules feature to setup LAN SUITE to forward mail or auto reply to a message. Use both features together to maximize your benefits.

Forwarding mail

The Mail Forwarding rule in the web mail client allows you to quickly and easily forward e-mail to a different address. Use it when you are on the road and need to receive mail at a different e-mail address. Let your colleagues cover for you and forward your e-mail to their accounts. Follow these steps to setup a simple Mail Forward rule:

  1. Log in to Web Mail with the account you would like to setup the rule on.
  2. Click the Options button, then click the Mail Rules button.
  3. Click the Add new mail rule link.
  4. Click the radio button next to Always, then scroll down and select the Forward radio button.
  5. In the To box, type the e-mail address you would like the mail forwarded to. You may type multiple addresses separating them with a comma. To pick addresses from the Address Book click on To:.
  6. Click Save to save your settings.

Now, whenever e-mail is received to your account, the message will be automatically forwarded to the account(s) you specified in the To: field!

Set up a forward mail rule

Setting up an Auto-responder

An auto-responder is a useful tool that will automatically reply to a received message. Whether you are gone for a day or a month, an auto responder will immediately let a sender know that you are not available. Follow these directions to setup an auto-responder in the web mail client:

  1. Log in to Web Mail with the account you would like to setup the rule on.
  2. Click the Options button, then click the Mail Rules button.
  3. Click the Add new mail rule link.
  4. Click the radio button next to Always, then scroll down and select the Reply radio button.
  5. In the box below the Reply radio button, type the message you want to automatically reply with (255 character limit).
  6. Click Save to save your settings.

Setting up an Auto responder

NOTE: It is possible to setup a forward rule that will also auto-respond to the e-mail! To do this, simply setup the forward rule first, then an auto-responder rule. Click Edit on the forward rule, and remove the checkmark from the Stop Processing checkbox. Finally, click Save to save your settings.
