Safely separate junk mail from your business correspondence

If your organization is using e-mail, it stands a good chance of being deluged with unsolicited commercial e-mail. Junk e-mail can waste your employees valuable time, which in turn costs your organization money. One thing to consider when implementing an anti-spam policy is the fact that analysis may not be 100% accurate when determining what is junk e-mail. As such, it is generally a good idea to keep junk e-mail for a few days to provide an easy way to recover misclassified e-mail.

Sort junk mail into a separate folder

The best way to prevent the loss of e-mail is to create a separate folder to store the junk e-mail for a certain number of days. To do this, you will first need to create a folder to store the e-mail and then set this folder to delete messages after a set number of days. Do the following to set up the Junk E-mail folder:

  1. Log in to the Web Mail account for which you would like to set up the junk e-mail folder.
  2. Click on Options, then click the Anti-spam Settings icon.
  3. Under the Junk E-mail action section, click the Move to folder Junk E-mail created under Inbox radio button.
  4. Click Save to save your settings.

Now, any junk message the user receives will be automatically moved to the Junk E-mail folder.

Automatically delete junk mail

Once you have configured the Web Mail Client to automatically move junk mail to a different folder, you can now configure the folder to automatically remove messages that are over a certain number of days old. This is very useful cleaning junk mail behind the scenes without user intervention, while still preserving the ability to review the mail if needed. To configure automatic mail deletion, do the following:

  1. Click the Junk E-mail folder under the Inbox on the folder tree.
  2. Enter a value for the number of days you would like to retain junk e-mail (valid values are 1 to 999999999) in the Delete messages older then box.
  3. Click the green and white checkmark to save your settings.
