Distribute customized Print2PDF printer preferences to your clients with Print2PDF Server Edition

Print2PDF Server Edition can be configured to distribute customized preferences to clients when the printer is added to a client. This makes it simple to ensure users have the PDF conversion settings your organization requires. Easily lockdown your PDF creation process and eliminate user conversion errors.

Configure Print2PDF to distribute preferences to clients

The client installation options are not available from the Print2PDF Configuration utility in the Print2PDF Program Group. The only way to access these preferences are from within the Windows printer preferences for the Print2PDF printer. To access these options, do the following:

  1. Open the Printer Control Panel (typically Start -> Printers and Faxes or Start -> Settings -> Printer).
  2. Right-click the Print2PDF printer and select Properties.
  3. Click the Printing Preferences button.
  4. Click the Print2PDF tab.
  5. Click to add a checkmark to the Distribute preferences to new clients checkbox.

Now, configure the preferences as you would like them to be distributed to new clients. When finished, click OK to save your preferences.

Issues with clients who already added the Print2PDF printer

Once the Print2PDF printer has been added to a client, the printer has no way to know if the default preferences have been changed on the server. As such, preferences will only be distributed when the printer is installed, so any client with Print2PDF currently installed will need to reinstall the printer. To do this, simply delete the printer from the client and re-add it from the server.

The other items in the Client installation section of the preferences are described below:

  • Distribute preferences to new clients: Checking this box will distribute the Print2PDF server preferences to all new clients.
  • Preserve client preferences on reinstall: Checking this box will not overwrite client preferences during the reinstallation of the Print2PDF print driver (NOTE: Orientation, Paper Size, Resolution and Scaling will NOT be preserved).
  • Hide the Print2PDF Printing Preferences on new clients: Checking this box will hide the Print2PDF Printing Preferences on all new clients. This will allow the administrator to prevent user access to the settings when the Save As dialog is disabled.
  • Install integration with Microsoft Internet Explorer: Checking this box will add the Print2PDF icon to the toolbar in Microsoft Internet Explorer on all new clients for one-click PDF conversion of web pages.
  • Install integration with Word 2000/XP/2003: Checking this box will install a macro in Microsoft Word 2000/2002/2003 on all new clients for easy PDF conversion with the ability to create bookmarks and hyperlinks.
